QuickBooks Database Server Manager: How to Install, Set Up and Fix It (2026 Guide)

If two or more people in your office need to open the same QuickBooks Desktop company file at the same time, the QuickBooks Database Server Manager is the piece that makes it work. Skip it, or set it up halfway, and you get the usual mess: H202 errors on workstations, files stuck in single-user mode, and somebody emailing a backup copy around just to get invoices out.

We set this tool up for small offices all the time, and most problems come down to the same handful of missed steps. This guide walks through all of them. What Is QuickBooks Database Server Manager?

QuickBooks Database Server Manager is a Windows utility from Intuit that lets one computer, usually called the server or host, share QuickBooks Desktop company files with other computers on the same local network. It runs quietly as a Windows service, so the server doesn’t even need QuickBooks open for people to work.

Think of it as the traffic controller for your company file. Each workstation asks the server manager for access, and the server manager keeps those requests in order so two people don’t overwrite each other’s work.

  • Scans folders for company files (.QBW) and prepares them for network sharing.
  • Creates a Network Data file (.ND) for every company file it finds. This small file tells workstations where the server is and how to reach it.
  • Runs the QuickBooksDBXX service in the background, which handles the multi-user connection.
  • Watches your drives so files you add or move later get picked up without a fresh scan.
  • Sets up firewall permissions for the QuickBooks ports it uses.

The Windows services behind it

When you install the server manager, a few services and one special user account get created. Knowing their names saves a lot of guesswork when something breaks.

The six tabs inside the server manager

Most guides mention two tabs. There are six, and each one helps in a different way.

  1. Scan Folders – pick the folders that hold your company files and scan them so they can be shared.
  2. Database Server – shows the live status of the service and which users are connected right now. Handy when you need to know who’s still logged in before running a backup or update.
  3. Monitored Drives – tick the local drives to keep watching. New or moved company files on these drives get updated automatically.
  4. Updates – shows the server manager’s version and lets you install a pending update. This version should match the QuickBooks release on your workstations.
  5. System – shows where the server manager is installed, the computer’s name, and disk details.
  6. Port Monitor – lists each installed QuickBooks year and the port it uses. You’ll need these numbers when you create firewall rules by hand.

Before You Install: A Quick Checklist

Ten minutes of prep here saves an afternoon of troubleshooting later. Run through this list on the computer that will host the file.

  • Pick a real host computer. Use the PC or Windows server where the company file will live. It should stay on during work hours and not go to sleep.
  • Don’t host on a NAS. QuickBooks Database Server Manager doesn’t support Network Attached Storage devices. Keep the file on a Windows machine’s local drive.
  • Know your QuickBooks years. If your office runs QuickBooks 2023 and 2024 side by side, the server needs a server manager for each.
  • Sign in as a Windows admin. You’ll need admin rights to install, create services and change folder permissions.

Full Program vs. Server Only: which setup is right for you?

During install, QuickBooks asks how the server will be used. Here’s how to choose.

QuickBooks Database Server Manager Download

There’s no standalone “QuickBooks Database Server Manager download” file, and you should be wary of any site offering one. The server manager is part of the normal QuickBooks Desktop installer.

  • Already installed: you don’t need to download anything new. Just keep QuickBooks updated, because each QuickBooks update also updates the server manager.

How to Install QuickBooks Database Server Manager

Do this on the host computer only. If you’re running more than one QuickBooks year, install the oldest year first and work forward.

  1. Close QuickBooks and any other open programs on the server.
  2. Open the installer you downloaded, Setup_QuickBooks.exe.
  3. Follow the prompts and accept the license agreement.
  4. Enter your license and product numbers if asked.
  5. On the install type screen, choose Custom and Network Options, then Next. Don’t pick Express. Express can overwrite an existing QuickBooks install you might still need.
  6. Pick the option that matches your setup:

    • “I’ll be using QuickBooks Desktop on this computer, AND I’ll be storing our company file here so it can be shared over our network” – the Full Program setup.
    • “I will NOT be using QuickBooks Desktop on this computer. I will be storing our company file here so it can be shared over our network” – the Server Only setup.

  7. Click Next, then Install. Allow any Windows permission prompts.
  8. Restart the server once the install finishes.

How to Set Up and Use QuickBooks Database Server Manager

Installing the tool is only half the job. Until you scan your folders and sort out permissions, the workstations still can’t see the file.

Step 1: Open the server manager

On the host computer, open the Windows Start menu and search for QuickBooks Database Server Manager. You can also open it from the QuickBooks Tool Hub under Network Issues.

Step 2: Scan your company file folders

You only need to do this once per folder, and again if you move the file somewhere new.

  1. Go to the Scan Folders tab.
  2. Click Browse and select the folder that holds your .QBW file. Pick the folder, not the file itself.
  3. Click OK, then Start Scan.
  4. When the scan ends, your files appear under QuickBooks company files found. Each one now has a fresh .ND file next to it.

If a file you expected doesn’t show up, check that it’s on a local drive of this computer. Files on mapped network drives won’t appear.

Step 3: Turn on Monitored Drives

  1. Open the Monitored Drives tab.
  2. Tick the drives that hold your company files. Leave the rest unticked so the service isn’t watching drives it doesn’t need to.

Now if someone saves a new company file or restores a backup to that drive, the server manager picks it up on its own.

Step 4: Give QBDataServiceUserXX folder permissions

This is the step people skip, and it causes a big share of “can’t open company file” calls. The database service runs under a Windows user called QBDataServiceUserXX (for example, QBDataServiceUser34 for QuickBooks 2024). That user needs full access to the company file folder.

  1. Right-click the folder that holds your company file and choose Properties.
  2. Open the Security tab and click Edit.
  3. Click Add, type QBDataServiceUserXX (use your version’s number), and click OK.
  4. Select that user, tick Full Control under Allow, and click Apply, then OK.
  5. Also share the folder: Properties > Sharing > Advanced Sharing, tick Share this folder, and give your QuickBooks users full access.

Step 5: Set the database service to start automatically (recommended)

The default settings usually work, but we always change these on client servers so a power cut or Windows update doesn’t leave everyone locked out on Monday morning.

  1. Press Windows + R, type services.msc, and press Enter.
  2. Find QuickBooksDBXX and double-click it.
  3. On the General tab, set Startup type to Automatic.
  4. On the Log On tab, check it’s set to the correct account (the default Local System or QBDataServiceUserXX account set during install). Don’t change it unless you know why.
  5. On the Recovery tab, set First failure, Second failure and Subsequent failures to Restart the Service.
  6. Click Apply, go back to General, and click Start if the service isn’t already running.
  7. Repeat for QBCFMonitorService.

Connect Your Workstations in Multi-User Mode

The server is ready. Now each workstation needs to be pointed at it, and only one computer should be acting as the host.

On the host computer (Full Program setup only)

  1. Open QuickBooks and go to File > Utilities.
  2. If you see Host Multi-User Access, click it and confirm. If you see Stop Hosting Multi-User Access, it’s already on.

On every workstation

  1. Open QuickBooks and go to File > Utilities.
  2. You should see Host Multi-User Access. That’s what you want, because it means this computer is not hosting. If it says Stop Hosting Multi-User Access, click it to turn hosting off.
  3. Go to File > Open or Restore Company, browse to the shared folder on the server, and open the .QBW file.
  4. Go to File > Switch to Multi-user Mode.

Hosting Multiple QuickBooks Versions on One Server

Accounting firms and growing businesses often run two QuickBooks years at once, maybe 2024 for most clients and 2023 for a few holdouts. One server can handle both.

  • Install the server manager for each QuickBooks year, oldest first.
  • Each year gets its own QuickBooksDBXX service, and they all run side by side.
  • In the server manager’s Port Monitor tab you’ll see every installed version listed with its own port.
  • A workstation can only open a company file with a server manager of the same year. A 2024 workstation needs the 2024 server manager running on the host.

QuickBooks Database Server Manager Firewall Ports

The server manager tries to set up firewall rules on its own, but third-party firewalls, security suites and group policies on business networks often get in the way. When that happens, you add the rules yourself.

  1. Open the server manager and go to the Port Monitor tab.
  2. Note the port number listed for each QuickBooks year you host. Recent versions use port 8019 plus a version-specific port shown here.
  3. In Windows, open Windows Defender Firewall with Advanced Security.
  4. Create a new Inbound Rule > Port > TCP > enter the ports > Allow the connection > apply to all profiles > name it something like “QuickBooks 2024 ports”.
  5. Create a matching Outbound Rule.
  6. Add program exceptions too, including QBDBMgrN.exe, QBW.exe (QBW32.exe on older versions), QBCFMonitorService.exe and QBUpdate.exe, from the QuickBooks install folder.

Tip: the Renew button on the Port Monitor tab gives a version a new port. Only use it if something else on the server is already using that port, and update your firewall rules right after.

How to Update QuickBooks Database Server Manager

When workstations update to a newer QuickBooks release and the server doesn’t, users start getting prompts to update or can’t open the file at all. Keep them in step.

  1. On the server, update QuickBooks Desktop through Help > Update QuickBooks Desktop (Full Program setup), or download the latest release of the installer (Server Only setup). The server manager updates along with it.
  2. Open the server manager and check the Updates tab. Install anything pending.
  3. Restart the server, or at least restart the QuickBooksDBXX service.
  4. Rescan your company file folders.
  5. Update QuickBooks on each workstation to the same release.

Most server manager problems show up as an error on a workstation, not on the server. Match what you’re seeing to the likely cause before you start changing settings.

Fix 1: Restart the database service

This clears most “stopped” errors in under a minute.

  1. Ask everyone to close QuickBooks.
  2. On the server, press Windows + R, type services.msc, press Enter.
  3. Right-click QuickBooksDBXX and choose Restart (or Start if it’s stopped).
  4. Do the same for QBCFMonitorService.
  5. Check the service’s Recovery tab is set to restart on failure, as shown in Step 5 above.

Fix 2: Rescan the folder to rebuild .ND files

A damaged Network Data file is a common reason workstations can’t connect.

  1. On the server, open the folder holding your company file.
  2. Find the files with the same name as your company file ending in .ND and .TLG.
  3. Rename them by adding .OLD at the end (for example, company.qbw.nd.OLD). Don’t touch the .QBW file.
  4. Open the server manager and run Start Scan on that folder again. A fresh .ND file gets created.

Fix 3: Recheck folder permissions

After a Windows update, a new server, or an IT cleanup, the QBDataServiceUserXX permission sometimes disappears. Go back through Step 4 above and make sure the account still has Full Control.

Fix 4: Run the server manager and File Doctor from Tool Hub

The QuickBooks Tool Hub (version 1.6.0.8 is the current release) bundles the repair tools in one place. Close QuickBooks first.

  1. Download and install the latest QuickBooks Tool Hub on the server.
  2. Open it, choose Network Issues, and click QuickBooks Database Server Manager. Let it scan your folders. It also repairs firewall permissions.
  3. Next, go to Company File Issues and click Run QuickBooks File Doctor. Pick your company file, choose Check your file and network, and enter your admin password when asked.
  4. Open QuickBooks on a workstation and try multi-user mode again.

Fix 5: Reinstall the server manager (clean install)

If nothing above works, the installation itself may be damaged.

  1. Back up your company file.
  2. Press Windows + R, type appwiz.cpl, and press Enter.
  3. Select your QuickBooks version (or the server manager on a Server Only setup) and click Uninstall/Change, then remove it.
  4. Rename the leftover install folders by adding .OLD to the end, for example C:\ProgramData\Intuit\QuickBooks 20XX and C:\Program Files\Common Files\Intuit\QuickBooks. Tool Hub’s Clean Install Tool under Installation Issues can do this for you.
  5. Restart, then reinstall using the steps in the install section above.
  6. Rescan your folders and redo the permissions.

Best Practices to Keep Multi-User Mode Running Smoothly

A few habits keep the server manager out of your way for good.

  • Give the server a static IP address. If the server’s address changes after a router reboot, workstations lose track of it.
  • Turn off sleep mode on the host. A sleeping server looks like a dead server to everyone else.
  • Update the server first, then workstations. Mismatched releases are a top cause of connection trouble.
  • Keep company files on one local drive in a short folder path, like D:\QuickBooks Data. Avoid desktop folders and deep nested paths.
  • Don’t open the file from a mapped drive letter on the server itself. Use its local path there.
  • Back up from one place. Run backups from the host or one assigned workstation, after everyone has logged out (check the Database Server tab to see who’s still connected).
