It’s Monday morning, and half your team can’t open the company file. One workstation says QuickBooks can’t connect to the server, another shows a “server busy” message, and the person who handles payroll can’t even run an update. If your QuickBooks is not connecting to the server, the cause is almost always something specific: a stopped service, a blocked port, a file in the wrong place, or a setting on one machine.
The tricky part is that “server” can mean several different things in QuickBooks. This guide helps you figure out which one you’re dealing with first, then walks you through the fix.
First, Which “Server” Problem Do You Have?
Match your situation to the right section:
- Can’t open the company file on a workstation, or you see error H202, H505 or a 6000 series code: go to the multi-user fixes below.
- QuickBooks can’t download updates, or you get an internet connection or “server not responding” message: go to the update and internet connection fixes.

Why Is QuickBooks Not Connecting to the Server?
Most cases come down to one of these:
- The QuickBooks Database Server Manager isn’t running on the machine that holds the company file.
- The QuickBooksDBxx service has stopped, or isn’t set to start automatically.
- A firewall or antivirus is blocking QuickBooks ports or programs.
- The workstation can’t find the server by name (a DNS or hosts file problem), or the server’s IP address changed.
- The company file sits in a cloud-synced folder, or the workstation uses a drive letter that no longer points to the right place.
- More than one computer is trying to host the file.
- Windows folder permissions stop QuickBooks from reading the file.
- A damaged .ND or .TLG network file.
- Weak Wi-Fi, a loose cable, or an overloaded router.
- Internet settings, date and time, or TLS settings on the workstation are wrong (update and email issues).
- Old browser data or a VPN getting in the way (QuickBooks Online).
What the Common Server Error Codes Mean
- H101: the workstation can’t find the server. Usually a hosting or network setup problem.
- H202: the workstation can see the server but can’t reach the company file. Usually firewall, DNS, or the server service.

- H505: the file is on another computer, and that computer isn’t set up to host.
- 6000 series: problems opening or accessing the company file itself, such as error 6000-83 or error 6000-77.
Before You Start
- Sign in to Windows as an administrator. Many steps change services and network settings.
- Make a backup of your company file if you can open it on any machine.
- Work on the server first, not the workstations. Most fixes belong on the computer that holds the file.
- Check if the problem is one workstation or all of them. If only one fails, the issue is on that PC.
- Restart the server and router once. It sounds basic, but it clears a surprising number of cases.
What the QuickBooks Database Server Manager Does
The Database Server Manager runs quietly on the server and lets several people work in the same company file over the network. It keeps track of who’s connected, scans folders for company files, and manages the network files QuickBooks needs. When it stops, or the services behind it stop, workstations lose the file. That’s why so many of the fixes below start on the server.
How to Fix QuickBooks Not Connecting to Server in Multi-User Mode
Work through these in order.
Fix 1: Check That the Server and Workstation Can See Each Other
- On the workstation, press Windows + R, type cmd and press Enter.
- Type
ping ServerName(use your server’s actual name) and press Enter. - If you get replies, the name works. If it times out, try pinging the server’s IP address instead.
- If the IP address works but the name doesn’t, Windows can’t translate the name. Add a line to the hosts file: open Notepad as administrator, open
C:\Windows\System32\drivers\etc\hosts, add the server’s IP followed by its name on a new line, and save.
If neither responds, the problem is the network itself: cables, Wi-Fi, a switch, or the server being asleep. Fix that before touching QuickBooks.
Fix 2: Make Sure Only the Server Is Hosting
If a workstation is also set to host, it fights the server and causes H505 and similar errors.
- On every workstation, open QuickBooks, go to File > Utilities, and click Stop Hosting Multi-User Access if you see it.
- On the server, close QuickBooks, press Ctrl + Shift + Esc, open the Details tab, find QBDBMgrN.exe, and choose End task.
- Press Windows + R, type services.msc and press Enter. Find QuickBooksDBxx and set it to start automatically, then start it.
- Open QuickBooks on the server and go to File > Utilities > Host Multi-User Access.
Fix 3: Run the Database Server Manager Scan on the Server
- On the server, open the QuickBooks Tool Hub.
- Go to Network Issues and select QuickBooks Database Server Manager.
- If asked, install it. Then browse to the folder with your company file and click Start Scan.
- When the scan finishes, check that your file is listed, then open QuickBooks on a workstation.

Fix 4: Check the QuickBooks Services on the Server
- On the server, press Windows + R, type services.msc and press Enter.
- Find QuickBooksDBxx (the “xx” matches your version) and QBCFMonitorService.
- Double-click each one. Set Startup type to Automatic, and click Start if it’s stopped.
- On the Log On tab of QuickBooksDBxx, choose Local System account.
- On the Recovery tab, set the first failure, second failure and subsequent failures to Restart the Service.
- Click OK and test from a workstation.
Fix 5: Check Your Firewall and Antivirus
QuickBooks needs its programs and ports open on the server. Version 2020 and later use dynamic ports, so find yours first:
- On the server, open QuickBooks Database Server Manager and click the Port Monitor tab.
- Note the port number shown for your QuickBooks version.
- Open Windows Defender Firewall with Advanced Security from the Start menu.
- Right-click Inbound Rules and choose New Rule.
- Select Port, click Next, choose TCP, and enter the port number under Specific local ports.
- Choose Allow the connection, keep all profiles ticked, name the rule something like QBPorts 2026, and click Finish.
- Repeat the same steps under Outbound Rules.

Fix 6: Rename the .ND and .TLG Files
These small network files tell QuickBooks how to reach the company file. If they get damaged, connections fail even though the data is fine.
- On the server, open the folder with your company file.
- Find the files with the same name as your company file ending in .ND and .TLG.
- Right-click each one, choose Rename, and add .OLD at the end.
- Rescan the folder in Database Server Manager (Fix 3). QuickBooks recreates both files.

Fix 7: Check Where the Company File Is Stored
- Don’t keep the file in a cloud-synced folder like OneDrive or Dropbox. Syncing locks and changes the file while QuickBooks is using it.
- Store it on the server’s local drive, then share the folder across the network.
- Open it through the network path (like
\\ServerName\Share) instead of a mapped drive letter, which can break after a restart. - If QuickBooks says it can’t find the file, see QuickBooks company file not found.
Fix 8: Check Folder Permissions
QuickBooks uses a Windows user called QBDataServiceUserXX to read the file.
- On the server, right-click the folder with your company file and choose Properties > Security.
- Select QBDataServiceUserXX (the “XX” matches your version) and click Edit.
- Tick Full Control and click OK.
If the user isn’t listed, click Add, type the name, and give it Full Control.
Fix 9: Use the Diagnostic Tools and Repair the File
- Run the QuickBooks Connection Diagnostic Tool. It tests the link between a workstation and the server and shows whether the fault is the network, the firewall, or the file.
- If the problem seems to be the file itself, open the Tool Hub, go to Company File Issues, and run Quick Fix My File.

Fix 10: Check the Network Settings
- Give the server a static IP address so it doesn’t change after a restart.
- Set the network profile to Private and turn on Network discovery and File and printer sharing.
- Restart the router: switch it off, wait a minute, switch it back on, and let the lights settle.
- If workstations connect through a VPN, test the connection on the office network without it.
- If the Wi-Fi signal is weak, connect the workstation by cable to rule that out.

Work While You Fix It
If you need to get into QuickBooks right now, hold the Ctrl key while you double-click the QuickBooks icon. It opens without loading a company file, so you can work in a local copy or reach the Help and Utilities menus.
QuickBooks Not Connecting to the Update Server or Internet
If the problem happens when you update QuickBooks, download payroll tax tables, or use online services:
- In QuickBooks, go to Help > Internet Connection Setup.
- Choose Use my computer’s Internet connection settings and click Next, then Done.
- Check your date and time. A wrong clock makes secure connections fail.
- Open Internet Options in the Windows Control Panel, go to Advanced, make sure TLS 1.2 is ticked, and click Restore Advanced Settings if anything looks wrong.
- Restart the computer and try the update again.
To turn on automatic updates, go to Help > Update QuickBooks Desktop > Options and choose Yes for automatic updates. If the in-app update still fails, close QuickBooks, download the update for your version from the official QuickBooks Downloads and Updates page, install it, and restart.

QuickBooks Not Connecting to the Email Server
If sending invoices from QuickBooks fails with a message about the email server:
- Go to Edit > Preferences > Send Forms.
- Under My Preferences, check that your email provider (Outlook, Webmail, or QuickBooks Email) matches what you actually use.
- If you use webmail, click Add or Edit and re-enter your email address, SMTP server name and port, using the settings from your email provider.
- If you use Gmail or Outlook, sign in again when prompted. Some accounts need an app password instead of your normal one.
- Send a test email.
QuickBooks Online Not Connecting to the Server
If you see “we can’t connect to the server” in QuickBooks Online, the issue is nearly always on your side:

- Turn off VPNs, ad blockers and privacy extensions, then try again.
- Check that other websites load. If they don’t, the problem is your internet connection.
- Update your browser, or try a different one or another device.

QuickBooks Point of Sale and Mac Servers
- Point of Sale: make sure the POS server workstation is on and running, and that the client and server run the same version. If clients lost the connection after a server reboot, close POS on all clients, restart the server, then reopen POS on the clients.
- QuickBooks for Mac: open the QuickBooks Server app on the host Mac and make sure your company file is listed under shared files. Check File Sharing permissions in System Settings, and update QuickBooks, because an expired certificate can block the server connection.
If You Use Hosted QuickBooks or a Remote Desktop
If QuickBooks runs on a hosted server or remote desktop, the connection to the file is managed by your hosting provider. Fixes like firewall rules and services need to be done by them. Contact your host first, and ask them to check the QuickBooks services and ports.
How to Prevent QuickBooks Server Connection Problems
- Keep QuickBooks and Windows updated on the server and every workstation.
- Host the file from one dedicated computer only.
- Keep the company file out of cloud-synced folders.
- Give the server a static IP address.
- Keep QuickBooks services set to Automatic, with restart on failure.
- Re-check firewall and antivirus rules after any change to your security software.
- Rescan the folder in Database Server Manager after moving or renaming files.
