You double-click the QuickBooks Database Server Manager, and nothing happens. Or the icon flashes in the tray and disappears. Or you open the Tool Hub’s Network Issues tab and it tells you the manager can’t run. Meanwhile your team can’t reach the company file in multi-user mode, and your QuickBooks Database Server Manager is not working when you need it most.
This guide covers the usual causes and the fixes that work, from a stopped service to a damaged Windows component. It also tells you what to do right now so your team can keep working.
Quick Answer: What to Try First
- Restart the QuickBooksDBXX service in Windows Services (XX is your version number).
- Launch the manager directly from its program file instead of the shortcut (Fix 2).
- Run the Tool Hub’s Network Issues tab and use the Database Server Manager from there.
- Check the firewall isn’t blocking it (Fix 6).
- If nothing helps, repair Windows Management Instrumentation (WMI), shown in Fix 7.
What Is the QuickBooks Database Server Manager?
The Database Server Manager is the tool that lets several people open the same QuickBooks Desktop company file at once. It runs on the server, the computer that stores your company file. It does two jobs:
- It hosts the file so workstations can connect.
- It scans folders to find company files and keeps the connection healthy.
If you have only one user, you don’t need it.
Which Problem Do You Have?
- Nothing happens when you click the icon: the program or shortcut is damaged, or the service isn’t running. Go to Fix 1 and Fix 2.
- The tray icon appears and disappears: go to Fix 7 (WMI) and Fix 8.
- A message says the manager can’t run or needs setting up: go to Fix 3.
- It opens but won’t find your files: scan the folders. See “If It Opens but Won’t Scan” below.
- “QBDBMgrN not running on this computer”: this is the service, not the window. Go to Fix 1 and Fix 5.
- Workstations show error H202 or 6000-series errors: the server isn’t reachable. Go to Fix 5 and Fix 6.
- It stopped after a Windows or QuickBooks update: go to Fix 4 and Fix 8.
Why Won’t the QuickBooks Database Server Manager Open?
- The QuickBooksDBXX service has stopped or is set to manual, disabled, or the wrong logon account.
- The program or shortcut is damaged, often after an update or an interrupted install.
- Windows Management Instrumentation (WMI) is corrupt, so the manager can’t start.
- The service user is missing, or doesn’t have permission to the folder with your company files.
- A firewall or security program blocks the manager from running.
- QuickBooks or the manager is out of date, or two versions are conflicting on the same server.
- Hosting isn’t set up correctly, such as hosting turned on for workstations, which should have it off.
- A damaged QuickBooks installation or a failed Windows update.
- The manager was never installed on the server, or only a workstation copy exists.
Before You Start
- Do this on the server, the computer that holds your company files.
- Sign in to Windows as an administrator.
- Ask everyone to close QuickBooks and save their work.
- Back up your company file. See how to back up a QuickBooks company file.
- Know your QuickBooks version and year, so you can find the right service. Version 2023 uses QuickBooksDB33, for example.
Keep Working While You Fix It
If the team needs QuickBooks today, you have options.
- Single-user mode: one person opens the company file at a time, from File > Open or Restore Company, with Open in single-user mode ticked.
- Open the file on the server itself, if you can, and work there until the manager is fixed.
- Don’t copy the company file to several computers. That creates versions that don’t match.
How to Fix QuickBooks Database Server Manager Won’t Open
Work through these in order and test after each one.
Fix 1: Check and Restart the QuickBooksDB Service
- Press Windows + R, type services.msc, and press Enter.
- Find QuickBooksDBXX, where XX is your version number (such as QuickBooksDB33 for 2023).
- Right-click it and choose Restart, or Start if it isn’t running.
- Right-click it again, open Properties, and set Startup type to Automatic.
- On the Recovery tab, set the first, second and later failures to Restart the Service, then click Apply.
- Try opening the Database Server Manager.
If you also see QBCFMonitorService in the list, make sure it’s running too.
Fix 2: Launch the Manager Directly, Not From the Shortcut
A broken shortcut is a common reason it won’t open.
- Open File Explorer and go to C:\Program Files (x86)\Common Files\Intuit\QuickBooks.
- Find QBServerUtilityMgr.exe.
- Right-click it and choose Run as administrator.
- If it opens, right-click it, choose Send to > Desktop (create shortcut), and use the new shortcut from now on.
Fix 3: Open It From the Tool Hub
- Download and install the QuickBooks Tool Hub on the server.
- Open it and go to Network Issues.
- Click QuickBooks Database Server Manager.
- If you get a message that it can’t run until it’s set up, the manager may not be installed on this computer. Go to Fix 8.
- If it opens, click Browse, choose the folder with your company file, and click Start Scan.
Fix 4: Update QuickBooks and Windows
- Open QuickBooks on the server and go to Help > Update QuickBooks Desktop.
- Click Update Now, tick Reset Update, and click Get Updates. See how to update QuickBooks Desktop, or QuickBooks update stuck if it hangs.
- Install pending Windows updates.
- Restart the server and try again.
If you have more than one QuickBooks version on the server, update each one, and keep each Database Server Manager at the same version as its QuickBooks.
Fix 5: Check the Service Logon Account and Folder Permissions
- In Services, right-click QuickBooksDBXX and choose Properties > Log On.
- Choose Local System account, or the QBDataServiceUserXX account the installer created. If you use the user account, check it still exists in Windows.
- Right-click the folder with your company file, choose Properties > Security, and make sure QBDataServiceUserXX has Full Control.
- Restart the service and try again.
If workstations show error 6000 or cannot communicate with the company file, this is often why.
Fix 6: Let the Manager Through the Firewall
- Press Windows + R, type firewall.cpl, and press Enter.
- Click Advanced settings > Inbound Rules > New Rule.
- Choose Program, browse to QBDBMgrN.exe in your QuickBooks folder, allow the connection, and finish the wizard.
- Repeat for QBServerUtilityMgr.exe, and add the same exceptions to your antivirus.
- Restart the service and test.
For more detail, see Windows Firewall blocking QuickBooks and the QuickBooks Connection Diagnostic Tool.
Fix 7: Repair Windows Management Instrumentation (WMI)
If the tray icon appears and then disappears, a damaged WMI repository may be the cause. Ask your IT person to do this if you’re unsure.
- Open the Start menu, type cmd, right-click Command Prompt, and choose Run as administrator.
- Type winmgmt /verifyrepository and press Enter.
- If it says the repository is inconsistent, type winmgmt /salvagerepository and press Enter.
- Restart the server and try the manager again.
Don’t delete system folders by hand. If the repair doesn’t work, ask an IT professional.
Fix 8: Repair or Reinstall QuickBooks and the Manager
- Go to Control Panel > Programs and Features, select QuickBooks, click Uninstall/Change, and choose Repair.
- If that fails, run the QuickBooks Install Diagnostic Tool from the Tool Hub.
- As a last step, do a clean install with the QuickBooks Clean Install Tool, then reinstall QuickBooks.
- During install, choose Custom or Network (not Express). Choose the option to install QuickBooks and the company file on the server, or only the Database Server Manager if the file is elsewhere.
- If you host more than one version, install the oldest first and the newest last. If you need the installer, see how to download QuickBooks Desktop.
Fix 9: Check Your Hosting Setup
- On the server, open QuickBooks and go to File > Utilities.
- If you see Host Multi-User Access, click it to turn hosting on. If you see Stop Hosting Multi-User Access, it’s already on.
- On every workstation, hosting should be off. If you see Stop Hosting Multi-User Access there, click it.
- Then open the file in multi-user mode on a workstation to test.
If It Opens but Won’t Scan or Find Your Files
- In the manager, go to the Scan Folders tab.
- Click Browse, choose the folder that holds the company file, and click OK.
- Click Start Scan and wait for it to finish.
- Check Monitored Drives to make sure the drive with your file is ticked.
- If it still doesn’t find the file, check the file is on the server and the folder permissions are correct (Fix 5).
If the file seems damaged, see QuickBooks File Doctor not working. If the file won’t open, you may see company file not found or error 6150, -1006.
How to Check It’s Fixed
- The Database Server Manager opens without closing.
- The QuickBooksDBXX service shows Running.
- A workstation opens the company file in multi-user mode.
- The scan finds your company files.
- No H202 or 6000-series message appears.
How to Prevent the Manager From Failing Again
- Keep QuickBooks, Windows and the Database Server Manager updated.
- Set the service to Automatic with restart-on-failure.
- Keep one version per service, and don’t mix old and new on one server without a plan.
- Add firewall and antivirus exceptions for the manager.
- Leave hosting on only at the server.
- Keep the company file on the server’s local drive, not a cloud-synced folder.
- Restart the server regularly, and don’t shut it down while people are working.
- Back up often.

Frequently Asked Questions
Why won’t my QuickBooks Database Server Manager open?
The most common reasons are a stopped QuickBooksDBXX service, a damaged shortcut or program file, a firewall block, or a corrupt Windows WMI component.
What is the difference between “won’t open” and “QBDBMgrN not running”?
“Won’t open” means the manager window doesn’t start. “QBDBMgrN not running” means the background service isn’t running. Both stop multi-user mode, but the fixes differ slightly, and Fix 1 helps with both.
Do I need the Database Server Manager on every computer?
No. Install it on the server only, the computer that stores the company file.
What does QuickBooksDBXX mean?
It’s the service name. XX is a number for your version, such as 33 for QuickBooks 2023.
Can I use QuickBooks without the Database Server Manager?
Yes, in single-user mode. You need it for several people to work in the same file at once.
Does it work on Windows 11?
Yes, with a supported QuickBooks version. If it won’t open after a Windows update, update QuickBooks and the manager, and check the service and firewall.
Why does the tray icon appear and disappear?
The manager is starting and then failing, often because of a damaged WMI component or a wrong service account. Try Fix 5 and Fix 7.
Will repairing or reinstalling delete my company file?
Not normally, but always back it up first.
